Position Summary
We are seeking a professional and detail-oriented Bilingual Administrative Assistant to support daily office operations. The ideal candidate is fluent in both English and Spanish and has excellent communication, organizational, and customer service skills.
This position will regularly communicate with customers, vendors, and business partners in both the United States and Mexico. Therefore, proficiency in spoken and written English and Spanish is required to effectively perform the essential functions of the role.
Key Responsibilities
- Serve as a primary point of contact for customers and business partners in English and Spanish.
- Communicate with customers located in Mexico regarding orders, inquiries, scheduling, and general support.
- Answer and direct incoming phone calls and emails in both languages.
- Greet visitors and provide professional customer service.
- Manage calendars, schedules, meetings, and appointments.
- Prepare, review, and maintain reports, correspondence, and business documents.
- Translate business communications and documentation as needed.
- Maintain customer, employee, and company records with accuracy and confidentiality.
- Coordinate office supplies, inventory, and vendor communications.
- Perform data entry, filing, scanning, and record management.
- Assist management with administrative projects and office support functions.
- Support cross-functional teams with general administrative duties.
Requirements
- Fluent in English and Spanish (written and verbal).
- Ability to communicate professionally with customers and business contacts located in Mexico.
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Minimum of 1–3 years of administrative, customer service, or office support experience preferred.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Excellent verbal, written, and interpersonal communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Professional demeanor and customer-focused attitude.
- Ability to maintain confidentiality and handle sensitive information.
