Position Summary:
The Client Service Coordinator supports daily office operations while providing a high level of customer service and client support. This role requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple administrative tasks in a fast-paced environment.
Qualifications:
- Familiarity with general office procedures through formal training or equivalent experience
- Previous office experience preferred, but not required
- Computer literate with working knowledge of Microsoft Office (Word, Excel, Outlook)
- Strong data entry skills
- Excellent organizational and interpersonal skills
- Ability to maintain a high degree of confidentiality
- Commitment to providing exceptional customer service and client relations
Roles and Responsibilities:
General Office Duties:
- Check voicemail and return calls as needed
- Monitor multiple email inboxes throughout the shift and respond professionally to client inquiries
- Greet and assist incoming visitors, clients, and staff
- Answer incoming calls and direct them to the appropriate staff as needed
- Ensure all outgoing mail is prepared and ready by 1:00 PM daily
- File signed Bills of Lading (BOLs), Inventory Notices (INs), and inventory movement forms accurately
- Clean and sanitize office areas and supplies as needed
- Assist with special projects as assigned (e.g., excise tax preparation, spreadsheet reconciliation)
Receiving Wine Shipments:
- Verify incoming Bills of Lading to ensure compliance with requirements and standards
- Create new SKUs/item codes for incoming wine products
- Receive wines into NetSuite under the appropriate tax classification
Order Processing:
- Process customer orders through NetSuite
- Stage orders for warehouse associates and order pullers
- Ensure accuracy and timeliness of order entry and documentation
