Payroll & Office Support Specialist – Bilingual English/ Spanish
Location: Office-Based – Thousand Oaks, CA

Job Summary
We are seeking a detail-oriented Payroll & Office Support Specialist to support payroll processing, invoicing, and general office operations. This role is ideal for someone with strong QuickBooks experience who enjoys working independently in a service-based environment. Training will be provided for estimating and job costing.
Key Responsibilities
Payroll & Accounting
- Process weekly payroll accurately and on time using QuickBooks
- Apply and manage payroll class codes for job costing
- Maintain employee time records and resolve payroll discrepancies
- Assist with payroll reports and basic accounting tasks
Invoicing & Billing
- Prepare and send customer invoices
- Support billing accuracy and follow internal procedures
Estimating & Administrative Support
- Assist with preparing job estimates (training provided)
- Maintain organized digital and physical records
- Support general office and administrative operations as needed

Qualifications & Skills
Required
- Strong experience with QuickBooks, including payroll and invoicing
- Knowledge of payroll class codes and job costing
- High attention to detail with strong organizational skills
- Professional communication and customer service abilities
- Ability to work independently and manage multiple priorities
Preferred
- Payroll or accounting experience in a service-based business
- Previous experience in landscaping, construction, or similar trades
- Bilingual in Spanish (strong plus)
- Familiarity with estimating or job costing (trainable)
