About the Role
We are seeking a dependable Administrative/Inventory Coordinator to support daily office and warehouse operations in a fast-paced cold storage environment. This role ensures smooth billing, inventory tracking, and administrative workflow while serving as a bilingual point of contact for English- and Spanish-speaking staff, vendors, and customers.
Key Responsibilities
- Prepare, review, and process invoices and customer billing on time
- Manage Accounts Payable, including vendor invoices, POs, and payment tracking
- Maintain organized administrative and financial records
- Support inventory control through data entry, reconciliation, and reporting
- Order and track office supplies to support uninterrupted operations
- Utilize Microsoft Excel for logs, reporting, and data analysis
- Communicate daily with warehouse teams, vendors, and customers in English & Spanish
- Assist with audits, documentation, and compliance related to cold storage operations
- Provide administrative support to management and warehouse leadership
