Summary: Coordinates bookings with carriers, maintains constant communication with off-site warehouse, and updates system with latest information regarding orders shipping from these warehouses. Partners with the Sales Department to insure on-time delivery of all orders and customer satisfaction. Schedule may vary and will include some Saturdays.
Responsibilities:
- Coordinate and input appointments for all orders shipping out of warehouses
- Check and verify bill of lading to insure correct product has shipped. Advise sales department if wrong product or different quantity has been shipped
- Advise sales department of any changes in orders before releasing orders.
- Call carrier’s dispatch to obtain ETA
- Check and verify that the orders have the right product shipping out of the warehouse
- Coordinate any delivery problems and also input into SAP
- Works with all carriers, all L TL carriers, UPS and CHEP U.S.A
- Processes the invoices related to Shipping Department
- Faxes documents to other company warehouses and Bill of Ladings to carriers
- Call L TL carriers with pick up information
- Reference each order that will be on the same trailer in the shipping notes, and record the trucking company’s load number
- Organize bills of lading and worksheets in the sequence in which they were loaded order. Staple bills of lading in proper order
- Bill of Lading is checked in the computer to make sure all is accurate and matches. Order is then released in the computer to show it has been shipped. Bills of lading are put in numerical order
- Attends Carrier Window, checking drivers in and out, verifying their load sheets match the bill of lading and that paperwork is filled out properly
- Works a flexible schedule and may work occasional Saturdays

Qualification and Requirements:
Knowledge, Skills and Abilities
- Must know Microsoft Excel, Work and Outlook at basic level
- Must be able to learn and function with company SAP system
- Must be able to speak, read and write English. Knowledge of Spanish is helpful
- Good communication skills: ability to work well in a professional and courteous manner with carriers, coworkers and managers
Education:
- High school diploma or equivalent
