The Office Assistant oversees and manages all office procedures and other tasks as Assigned by the Office Manager/Owner Duties and Responsibilities: 1. Facilitate daily email interaction with clients, vendors and visitors. 2. Open, sort and distribute incoming mail, including faxes and email. 3. A/P, A/R and Deposits 4. Payroll processing, have direct contact with accountant to provide all necessary information for Payroll tax deposits. 5. Perform general clerical duties to include, but not limited to data entry, copying, faxing, mailing and filing. 6. Answer telephones, screen calls and transfer to appropriate staff member. 7. Schedule all home warranty service calls, email appointments, invoice and batch home warranty service calls weekly. 8. Coordinate and maintain records for staff, office, vehicles/vehicle maintenance, telephones, parking, company gas cards and office keys. 9. Prepare job folders, including all job accounts for Platt, Royal and pre liens for folder. Includes data entry for all vendors and material. Will reconcile packing slips and receipts to invoices and file in the appropriate file. 10. Assist with overall maintenance and organization of the office and other duties as assigned by Office Manager/Project Coordinator or Owner. May include organizing materials in the Shop. 11. Attend and help coordinate all company meetings and safety meetings. 12. Prepare and Maintain HR hiring documents and assist with employee orientations. 13. Assist Owner with special projects, review estimates for grammar accuracy and maintain a log of all outgoing estimates. Follow up with clients regarding estimates. 14.
